GSTN Advisory: Updates in the e-Way Bill (EWB) System

The Goods and Services Tax Network (GSTN) has announced several enhancements to the e-Way Bill (EWB) portal aimed at improving transaction tracking, data accuracy, and system-based closure of e-Way Bills. Taxpayers, transporters, ERP providers, API users, and other stakeholders are advised to prepare for the upcoming changes.

1. Mandatory “Ship To GSTIN” in Bill-To/Ship-To Transactions

In all Bill-To/Ship-To transactions, entering the “Ship To GSTIN” will now be compulsory while generating an e-Way Bill.

  • If the consignee is unregistered, users must enter “URP” in the Ship To GSTIN field.

2. Voluntary e-Way Bill Closure Facility Introduced

A new optional feature has been launched to allow closure of e-Way Bills once goods are delivered.

Who can close an e-Way Bill?

The closure can be done by:

  • Supplier
  • Recipient
  • Transporter
  • Driver or authorized person linked through a mobile number

Closure Methods

Users can close e-Way Bills:

  • Individually using the EWB number, or
  • In bulk based on generation date

Mobile Number-Based Closure

  • A mobile number may be added during EWB generation for closure purposes.
  • This number can also be updated during:
    • Vehicle updates
    • Consolidated EWB activities
    • Validity extension

Authorized persons using the linked mobile number can access and close active e-Way Bills through the Search option on the EWB portal.

Time Limit for Closure

e-Way Bills can be closed:

  • On the same day of delivery, or
  • On the next day following delivery

3. API Support for System Integrators

An API-based closure mechanism has also been provided for integrated systems.

The following details are required for API closure:

  • e-Way Bill Number
  • Closure Date
  • Remarks

4. Sandbox and Production Rollout

NIC has already released the updated APIs in the Sandbox environment. The changes are scheduled to go live in production on 15 June 2026.

ERP vendors, GSPs, ASPs, and API integrators should:

  1. Review the latest API specifications
  2. Conduct testing in Sandbox
  3. Update system configurations
  4. Ensure readiness before production deployment

5. Steps Recommended for Stakeholders

All stakeholders are advised to:

  • Understand the revised EWB workflow and data requirements
  • Update ERP systems and internal procedures
  • Conduct testing and user training sessions
  • Ensure compliance before implementation goes live

6. Additional Guidance

Detailed user instructions and technical documentation related to the e-Way Bill Closure feature are available on the EWB portal. Queries related to implementation may be raised through the official helpdesk channels.
